Business Needs
MITIE identified the opportunity to provide large organisations with a service to collect and recycle food waste. This appealed to many businesses in that it provided a more environmentally-friendly alternative to landfill of waste and has the added benefit of reduced greenhouse gas emissions as well as providing social enterprise hours. In order to implement an effective service the MITIE management team established the fact that they would need a software system to effectively manage their back office requirements. They would also need a system that could provide their customers with an easy to use, self-service portal for placing orders and retrieving activity reports.
Solution
Green Oak worked with MITIE management to understand the business requirements and translate those into requirements for the We3 Recycler software system. The MITIE management team wanted to have the flexibility to access the system from any location and from home. They also wanted to avoid purchasing and maintaining additional hardware. So Green Oak proposed a Software-as-a-Service implementation where the MITIE system would be hosted in Green Oak’s data centre. MITIE also needed a customer portal. The Green Oak development team created a customer portal that is accessed from the MITIE website and enables their customers to securely login and retrieve activity reports on tonnage of food waste recycled, CO2 and methane emissions avoided, social work hours contribution and a list of waste transfer notes.

The Software-as-a-Service solution provided helped make MITIE’s food waste collection service highly accessible and easy to engage with. MITIE’s customers love the solution since they can quickly logon and place a new order for collection or additional bins. They can also easily retrieve environmental and social data that can be incorporated in sustainability reports. New customers can create an account and request service. The MITIE management team love the solution since it is not only a great sales and marketing tool but it also significantly reduces administrative effort required to support the business.

Business Needs
The Green Services team within Celestica recognised the need to provide their blue-chip customers with a very high quality service for the disposal of unwanted IT assets including customer end-of-life equipment or returns as well as obsolete and surplus inventory. Corporations experience a number of legal and ethical challenges when disposing of equipment and Celestica wanted to differentiate their service to provide customers with the peace of mind that equipment was being disposed off in a highly secure and environmentally-safe manner. In order to provide this level of service, Celestica recognised that they would need an extremely flexible and robust tracking system that could provide reports on how, when and where assets were disposed off.
Solution
Celestica talked to a number of software vendors including SAP but decided to adopt Green Oak’s We3 Recycler product because of the level of traceability and reporting that the product provided. The team at Celestica also chose Green Oak because of their commitment to work in partnership with Celestica on the future development of the product to incorporate new features and functions.
Benefits
Since implementing the solution, Celestica have been able to provide customers with end-to-end reports that provide a breakdown of items received on a specific order, how those items were processed (disassembly, harvest, test etc.) and where the resulting fractions were shipped to for final disposition including material recovery. Celestica and Green Oak have worked together on the development of a new Certificate of Destruction process that provides evidence of downstream processing.

Reisswolf is the leading European provider of confidential waste disposal services. The company provides a professional and easy to use service based upon locating highly secure, lockable steel bins at a client’s premises. Confidential waste is shredded to national standards afterwhich it is shipped to paper mills for recycling.
Business Needs
Reisswolf Scotland wanted to provide their clients with a complete audit trail from point of collection through to shipment to the paper mill. They also wanted to develop a seamless process where an account manager could take an order from a client which would then be visible to a logistics coordinator for scheduling by vehicle and driver. Once the order was fulfilled, Reisswolf wanted their clients to have the ability to logon to their website and view and download compliance and environmental reports.
Solution
Reisswolf had been using Green Oak’s We3 Recycler software platform to their business for a number of years. However, they had a requirement to be able to easily create a schedule that drivers could use to manage their activities. The Green Oak development team worked with Reisswolf management to create a new scheduling module. This feature enabled the Reisswolf logistics coordinator to schedule orders for collection or delivery on a specific date by vehicle and driver. As a further improvement the team developed a mobile application which enabled vehicle drivers to access the schedule using a handheld device. Once the driver arrived on site at a client’s location they could simply select the relevant order from a drop-down list and scan a barcode indicating that the bin had been loaded into the vehicle.
Reisswolf also wanted a professional website for the business that incorporated a customer portal. Green Oak developed a content management system linked to We3 Recycler that had the dual benefit of enabling Reisswolf marketing to easily edit and maintain the website as well as providing their customers with secure logon access to destruction and audit reports on their confidential waste pick-ups.

The key resulting benefits for Reisswolf included a reduction in administrative time spent managing separate spreadsheets, invoices and waste transfer notes while centralising everything in a single web-based system. Scheduling collections and using mobile devices for proof of collection provided an end-to-end audit trail for Reisswolf’s customers and builds upon the company’s existing reputation for security and quality of service.

Electrical Waste Recycling Group was formed in 2008 after many years successfully establishing and building the largest lamp collection and recycling services, business to business electrical waste recycling solutions, installation of Europe’s largest WEEE recycling equipment and launching of battery collection services. EWRG has over 400 collection depots throughout the UK.
Business Needs
EWRG had a requirement for a business management system that supported its unique turnkey collection and processing service. This meant integrating a number of different processes including sales order management, container pick-up, delivery, weighing, sorting and processing as well as inventory management, invoicing and automated production of legislative paperwork and reports.
The company was also generating several thousand single hazardous waste transfer notes every month which resulted in a significant payment to the EA every quarter.
Solution
In order to fulfil EWRG’s specific business requirements, Green Oak has developed a highly customised version of We3 Recycler in conjunction with EWRG. The solution interfaces directly with EWRG’s logistics partner to provide order scheduling information and in return receives proof of delivery/pick-up details. EWRG’s customer base includes retail outlets, businesses (B2B), civic amenity sites, compliance schemes and large waste management companies all requiring different services and billing models which required custom invoicing features.
As part of the continual improvement of the process, Green Oak performed a process review and identified the fact that single hazardous waste transfer notes were being used where multiple collection notes could be used instead. Green Oak implemented multiple collection notes within the system as well introducing improvements to the process for capturing an order, creating the multiple collection note and scheduling the pick-up/drop-off.
Benefits
The integrated solution enables EWRG to connect business processes in physically separate locations using a single web-based platform. For example sales orders are processed in a central call centre location. Once an order has been entered on We3 Recycler the order details are seamlessly transacted into EWRG’s logistics partners transport management system. We3 Recycler determines the order routing based upon the specific waste type and routes the material to the appropriate processing facility. EWRG has a wide variety of customers who have different billing requirements so the system has been developed to provide the flexibility to satisfy these various requirements.
The introduction of the multiple collection note resulted in substantial financial savings for EWRG.
